Switching
An AxisCare alternative for agencies that do not bill Medicaid
AxisCare prices by how many clients you have and tells you the figure after a demo. If you are private-pay with a small office, you are paying for a funder-billing machine you will never switch on.

Why agencies move off AxisCare
AxisCare is genuinely strong software and it is rated accordingly. It is also built around Medicaid, VA and long-term care insurance billing, electronic visit verification and the reporting a large multi-site agency needs. Agencies look for an alternative for three reasons, and none of them is that AxisCare is bad.
You are private-pay, so most of it is dead weight
EVV, state aggregators, claims and managed revenue cycle services are the core of AxisCare and are irrelevant to an agency whose clients pay by card. You are carrying the complexity and the price of a regulated workflow you never run.
Pricing by client count punishes the thing you want
AxisCare bands by how many clients you serve. Rostavo charges for office seats, so signing a twentieth family costs nothing, and the only thing that moves the bill is hiring another coordinator.
A number before a demo
AxisCare publishes no price sheet. Rostavo is $99 a month for the first office seat and $49 for each further one, written on the pricing page, and you can start without speaking to anybody.
Where AxisCare is the better choice
AxisCare does funder billing and we do not, at all. Medicaid, VA and long-term care insurance claims, EVV with state aggregator support, medication reminders, hospitalization tracking and a managed revenue cycle service are real products that real agencies depend on, and they are a different and much larger build than anything on our roadmap. They also have far more history and a deeper reporting suite. If any part of your income comes from a funder, they are the right answer and we are not going to pretend otherwise.
What switching actually involves
The reason agencies stay on software they have outgrown is almost never the software. It is the fortnight of retyping they imagine. We do that part.
-
Step 1
Export your clients, carers, schedules and rates from AxisCare, or send us a read-only login and we will pull them.
-
Step 2
We load them, rebuild your rate cards and premiums, and match your custom fields.
-
Step 3
You reconcile against your last invoice run before you switch anything off.
-
Step 4
Month to month, no contract, no notice period.
Moving from AxisCare
I bill a small amount of Medicaid. Can I still move?
Not sensibly. Partial funder billing means running two systems, and the one you keep will be the one with the claims in it. Come back if that part of the business ends.
Do you have client and family portals like AxisCare?
Yes. Families log in to request and cancel visits, see visit reports and photos, pay invoices and leave reviews. Family logins are free and unlimited.
What about custom forms and reporting?
Custom fields and a form builder are included, and reports cover profit rather than only revenue: what came in, what workers were paid, expenses, and the margin left. It is less configurable than AxisCare and intentionally so.
