What to look for in nanny agency software

Almost nobody in this category publishes a price, which makes comparison hard on purpose. These are the questions that get you a straight answer anyway.

Does it handle placement and ongoing bookings?

Agencies that start in permanent placement almost always add temp and ad-hoc cover, and a pure applicant tracker stops the moment the placement is made.

Ask them: Can the same candidate record carry a permanent placement and a Tuesday booking?

What is the pricing actually based on?

Some tools charge per administrator, some per candidate on your books, some per seat. For a placement agency whose whole business is holding lots of candidate profiles, that difference is the entire bill.

Ask them: Am I charged for candidates, for staff, or for admin logins, and what happens when that number doubles?

Can a family review candidates without an account?

Asking a busy parent to create a login to look at three CVs loses you a percentage of replies. Every percentage point there is a placement.

Ask them: Can I send a shortlist as a link that opens straight away?

Does it know about DBS, first aid and right to work?

These have dates and the dates matter. A generic file upload with no expiry is how a lapsed certificate goes unnoticed for four months.

Ask them: Does the system warn me before a check expires, and can I see everyone who is currently non-compliant on one screen?

What does it cost to get started, and to stop?

Setup fees and annual contracts are common. So is free migration, if you ask.

Ask them: Is there a setup fee, will you move my existing data, and is there a minimum term?

Is it built for an agency your size?

Most of this category is sold to operations with several coordinators. If the smallest sensible configuration is three seats, a one-person agency is paying for two people who do not exist.

Ask them: What is the smallest account you have, and what does that agency pay?

Ask us all six. If the honest answer is that another product fits you better, we would rather say so on a call than have you find out after you have moved your data.
