One system, every vertical

Everyone sees just their bit

One set of records, three ways in. Nobody has to be taught which bits to ignore.

You

The whole agency. Every booking, everyone on your books, the money in and out.

Staff

Their own shifts only. Accept work, check in, upload a certificate.

Households

Their own account only. Request, see who is coming, pay, review.

Placing household staff is a long, quiet process

And most of the work happens in the weeks when nothing appears to be happening.

Week 1

A principal describes what they want

Discreetly, in conversation, over a phone call. None of it is written down anywhere a colleague could pick up.

Week 3

Four candidates, four separate email threads

Each with a CV attached, references at different stages, and no single view of who is furthest along.

Week 6

The placement is agreed

Terms, the fee, the start date and the guarantee period all live in an email you will need to find again in nine months.

From brief to placement to renewal

  1. 01

The brief lives on the client, not in your inbox

What they want, what they will pay, what they have refused before. Any colleague can pick it up.

  2. 02

    Candidates carry their own history

Skills, languages, references, checks and previous placements sit on one record with dates.

  3. 03

Shortlists go out as a private link

The principal opens it without an account, reviews who you chose, and tells you who to arrange.

  4. 04

    Terms are signed and stored

The agreement, the fee and the guarantee period are attached to the placement rather than to somebody inbox.

  5. 05

    The relationship continues after placement

Temp cover, holiday cover and the next hire all run from the same records instead of starting again.

What to look for in household staffing software

This is a discretion business with a long sales cycle, and most recruitment software is built for neither.

Is it built for placements or for shifts?

A rota tool cannot model a six-week search. An applicant tracker cannot model Tuesday cover. Household agencies do both.

Ask them: Can one candidate record carry a permanent placement and a temporary booking?

Is there a seat minimum?

General recruiting platforms commonly require three to five seats, which prices out most household agencies before the conversation starts.

Ask them: What is the minimum number of seats I can buy?

How does a client review candidates?

Principals are busy and privacy-conscious. A login they have to create is a barrier; an email of attachments is unprofessional and untrackable.

Ask them: Can I share candidates as a private link with no account needed?

Does it hold checks with dates?

Right to work, DBS and references all expire or go stale, and in this market a lapse is a reputational problem rather than an administrative one.

Ask them: Will it tell me before something expires?

Who can see what?

Household work involves genuinely sensitive information about private homes and families.

Ask them: Can I limit what a coordinator sees, and can I erase a candidate completely on request?

Household staffing. Questions answered

Does it support permanent placements as well as bookings?

Yes. Manage both long-term placements and short-term or temp bookings from one candidate pool.

Which roles can I staff?

Housekeepers, chefs, estate managers, personal assistants and other household roles. Labels adapt to your agency.

Can I track documents and checks?

Every candidate profile stores documents and background-check status with expiry reminders.

Can clients pay online?

Yes. Clients pay invoices securely through their portal.

Missing something you need?

Every agency runs a little differently. If something here doesn't fit how you work, or there's a piece missing altogether, tell us. We build custom versions of Rostavo for individual agencies.

That might be a form that matches your paperwork, a rate rule nobody else uses, a report your accountant asks for, or a whole part of the job we haven't covered. Worth a conversation either way.

Tell us what you need

We read every one of these ourselves.
